Seamroom is software that boutiques use to run their own businesses. That means there are two different relationships in this policy, and it matters which one you are in.

If you are a client of a boutique

If you booked an appointment, ordered an outfit or opened a link from a shop that uses Seamroom, the shop decides what happens to your information, not us. They are the data controller. We are their processor: we hold and handle the information on their instructions and for no purpose of our own.

So if you want to see what a shop holds about you, correct it, or have it deleted, ask the shop. They can do all of that inside Seamroom. If you contact us instead, we will pass your request to them and tell you we have done so.

We never sell your information, never share it with other boutiques, and never use it to advertise anything to you.

What a boutique holds about its clients

Typically: name and contact details, appointments, what you tried and liked, measurements, garment specifications, orders, payments, messages between you and the shop, photographs of work in progress, and documents you have signed. All of it exists because the shop needs it to make your clothes and take your money.

If you run a boutique, or are talking to us about one

Here we are the controller. We hold your name, your business details, your contact details, and records of our dealings with you — so we can provide the service, invoice you, support you, and meet our own legal obligations. Our lawful basis is performing our contract with you, and our legitimate interest in running and improving the product.

Where information is held

Customer data is held on servers in the United Kingdom, with backups in Western Europe. Two exceptions, stated plainly:

How long it is kept

A boutique's client records last as long as that boutique keeps them. When a client is erased, we remove the personal details and keep only what the law requires us to keep — invoices, payment records, accounting entries and signed agreements. We also keep a one-way fingerprint of any email address that has bounced or complained, so that we never contact it again. That fingerprint is not personal data and cannot be turned back into an address.

Your rights

Under UK GDPR you can ask for access to your information, correction, erasure, restriction, portability, and to object to processing. If a boutique holds the information, ask them. If we hold it, email privacy@seamroom.com and we will answer within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.

Security

Each boutique's data is separated at the database level, not just in the interface, and that separation is tested automatically on every change. Access by our own staff requires a recorded reason and is logged. Credentials are encrypted. Backups are encrypted and restored regularly to prove they work.

Cookies

This website sets no cookies and runs no analytics or advertising trackers. The Seamroom application sets only the cookies needed to keep you signed in.

Changes

If this policy changes materially we will tell boutiques directly rather than relying on you noticing a new date at the top.
